Make invoice follow-up easier to manage.

When reminders and overdue invoices keep taking time from your team, CBEOF can help with the receivables work you choose. Start with the accounts needing attention, your billing records and the follow-up already underway.

Before work begins, we agree on customer communications, system access, updates and when a question returns to your team. You keep control of credits, adjustments and business decisions. Collection placement requires a separate account review, and payment of every invoice cannot be promised.

How businesses use this service.

Invoice follow-up for professional service firms

Reconcile retainer, project or recurring service charges and identify the client contact. Define which questions return to the account owner before outside follow-up continues.

Accounts receivable support for B2B subscriptions

Separate overdue invoices from subscription changes, usage questions and credits. Agree on eligible periods, account exports and the person who resolves billing exceptions.

Receivables follow-up for manufacturers and distributors

Bring the aging summary, invoice and order references, and any delivery or return questions. Your team decides credits and payment terms while agreed reminders and follow-up are organized.

Is this the service you need?

When this fits

  • Routine invoice reminders or aging-account follow-up are taking time from your team.
  • You need ongoing account updates and a clear route for disputes or exceptions.

Other services that may help

Your team keeps authority over adjustments and business decisions. Moving an account to collections requires separate acceptance.

What’s included.

Choose which balances enter

Choose which invoices need outside follow-up. New, overdue, disputed and already placed accounts need different handling.

Agree on the follow-up workload

Decide how many accounts need attention, who may be contacted, which channels to use and what updates your team wants. System access and follow-up effort are included in the discussion.

Keep account decisions with you

Separate payment follow-up from account decisions. Credits, write-offs, disputed charges, and commercial exceptions stay with the authorized decision-maker.

Decide when to review collections

Agree on when an account should return to your team or be reviewed for collection. Moving to Debt Collection requires separate acceptance.

Choose a plan by workload

Choose a plan by the work required. Starter, Growth, Pro and Enterprise are package levels; they do not establish unlimited volume or a fixed service commitment.

What you’ll receive

  • The accepted account population, follow-up tasks and entry or exit rules.
  • Aging and follow-up status for the included accounts.
  • Recorded communication and the next agreed action.
  • Disputes, balance questions and other items needing a client decision.
  • The agreed route for direct payments, corrected records and further-service requests.

Compare the program options

Your proposal explains the work, account volume, terms and any separate placement or source charges, so you can review the details before deciding.

AR Starter

A defined routine follow-up workload.

  • Payment reminders
  • Aging follow-up
  • Basic reporting

Invoice volume, contacts, hours, and systems are agreed before work.

AR Growth

A larger recurring workload with escalation visibility.

  • Expanded agreed account workload
  • Recurring follow-up
  • Escalation reporting

The quote defines the increased capacity; volume is not unlimited.

AR Pro

Follow-up with a more detailed exception view.

  • Agreed receivables workload
  • Dispute tracking
  • Detailed reporting

Client decisions and accounting adjustments remain separately assigned.

AR Enterprise

A tailored operating scope for more complex organizations.

  • Dedicated scope
  • Multiple-location requirements
  • Agreed service commitments

Systems, workload, and reporting are individually scoped.

Plan availability, workload, system access, and service commitments are confirmed in the written scope.

How it works.

  1. Choose the accounts needing help

Identify the invoices taking time, how old they are and the reminders already sent. Choose which accounts stay with your team.

  2. Agree on contacts and updates

Agree on customer contacts, account records, updates and the questions your staff will answer.

  3. Follow up and flag open questions

For accepted accounts, follow up as agreed and report activity, balance changes and open questions. Discuss a separate account review if routine reminders are no longer appropriate.

Know what to expect.

We’ll confirm the work, the updates you’ll receive and who to contact along the way.

  • Which invoices enter the program, which remain with your team and who already contacts each customer.
  • Who approves credits, dispute responses, payment arrangements and movement to a different service.
  • The status fields, update schedule and method for reporting direct payments or corrected balances.

What helps us help you.

  • A recent aging summary, account types and approximate invoice volume.
  • Payment terms, balances, recent credits and the reminder work your team already performs.
  • The billing system and account-export fields available for sharing the account information.
  • The people authorized to resolve disputes, approve changes and provide updated balances.

What shapes your quote.

  • Included invoices, accounts, and monthly workload.
  • Contact frequency and reporting detail.
  • System access, data quality, and reconciliation needs.
  • Number of locations and escalation requirements.

Tell us what you need help with. We’ll explain which records are needed and how to provide them. Personal reports, ID images and account files can wait until then.

Frequently asked questions

Questions about this service?

A few details to help you decide.

Ask another question
How is AR management different from debt collection?

AR management handles the defined routine or earlier-stage follow-up process. Debt Collection addresses accepted accounts placed for recovery. The stage, account history, and intended communications help identify the right starting point.

Does this replace our accounting team?

No. The service focuses on agreed receivables work. General bookkeeping, financial statements, tax work, and authority to adjust balances are not automatically included.

Can you work with our billing system?

Describe the system and available exports. Access, permissions, data fields, and reconciliation responsibilities must be agreed; this site does not promise a live integration with every platform.

How are disputed invoices handled?

Set a clear escalation path to your authorized contact. The program can record the issue and next action within scope; it should not invent credits, settle disputes, or change terms without your instructions.

What should we compare between plan levels?

Compare the included volume, follow-up effort, reporting, exception handling, and system work. A plan name should be supported by measurable scope that matches your actual receivables queue.
