What to know before you start.

Tell us who is joining the program, what each adult will do and which screening instructions your organization follows. That helps you discuss background checks and any separate fingerprint requirement. Appointment availability and the receiving agency’s instructions must be confirmed before arranging capture.

  • Identify the organization, adult roles and the person responsible for review.
  • Keep business screening, fingerprint submission and eligibility decisions separate.
  • Bring the receiving instructions; confirm current requirements in the Florida guide.

Start with the organization and adult roles

List the adult coaches, volunteers, paid staff and other positions your organization wants to review. Describe what each person does, the access involved and whether the assignment includes transportation. A program name alone does not define a complete screening request.

Identify who operates the program, who is authorized to request the screening and who reviews the information. An outside league using a school or municipal facility may have a different relationship from a program operated directly by that school or department. Explain that relationship before treating all participants as one screening group.

  • Organization name and program type.
  • Adult roles, responsibilities and expected headcount.
  • Work or participation locations.
  • The person authorized to request checks and review the information.
  • Any written screening instructions supplied to the program.

Choose checks for the screening purpose

Youth & Sports Background Screening is a solution within CBEOF Background Screening, under Verify. The request defines the selected identity, criminal record and other supported checks, including the sources and locations involved. It does not automatically include every available search.

A driving record is a separate component to discuss when an adult role includes assigned driving or transportation. Explain those duties rather than assuming the standard screening scope includes vehicle-history information.

A completed background report supplies the agreed information. The responsible organization applies its participation criteria and follows the appropriate review process; a report is not a promise of eligibility or a substitute for an agency decision.

Keep fingerprinting as a separate pathway

Fingerprint capture, electronic submission and an agency’s screening or eligibility process are different steps. Bring the receiving agency’s instructions, the screening purpose and any request or routing information your organization has been given before choosing a fingerprint service.

CBEOF Fingerprinting is a separate primary service in Verify. LiveScan, fingerprint cards and mobile visits are options to discuss within their respective scopes. Current availability, the receiving pathway, appointment instructions and any separate agency or delivery charges must be confirmed before arrangements are made.

For Florida-specific requirements, use the full Florida Youth Sports Screening & Compliance guide linked with this article. It separates the covered roles, screening routes, organization responsibilities and official reference sources instead of treating a general background check as a complete compliance process.

Check whether existing evidence can be reused

Tell CBEOF whether the organization already has screening status information, prior fingerprint instructions or an established screening setup. Describe the record type and date in general terms. Existing evidence may need a separate review before it can be used for the new role or request.

Keep individual reports, Social Security numbers, identification images and other sensitive records out of the public inquiry. After the initial conversation, we can agree on the information needed for an accepted engagement and the appropriate way to transfer it.

Prepare a specific service request

Select youth sports screening and add driving checks or fingerprinting only when those services are part of the question you need answered. Include your organization type, approximate number of adults, target dates and the instructions or information gaps you want to resolve.

The response should establish the requested deliverable, source coverage, information requirements, availability and quote factors. The organization’s decision responsibilities should remain clear throughout the request.

  • Which adult roles need review?
  • Which screening instructions or pathway are you following?
  • What records or status information already exist?
  • Are fingerprints or assigned driving duties part of the request?
  • Who will review results and decide the next step?

Keep future program support separate

PlayVerified is a planned managed youth sports program. Software access, roster administration, renewal tracking and continuous monitoring are not included in this screening request. Tell us about future program-support needs separately.
